California compliance calendar for your business

California changes its rates and rules on fixed dates, and Bay Area cities add their own on top: new minimum wages on January 1 and July 1, new laws every January, and filings that switch on at 11, 20 and 100 employees. Tell this calendar where your people work and how many you have, and it emails you before each date that applies to you, with the law behind it and a plain-English guide.

What the reminders cover

Every business gets reminders before the state minimum wage and exempt salary floor change, before new California employment laws take effect on January 1, and before each minimum wage change in Oakland, San Jose, San Francisco, Berkeley and Emeryville. Each reminder arrives 14 days ahead.

Members of The HR Desk also get the filing and posting dates that trip up small employers: Form W-2 and 1099-NEC on January 31, the EDD quarterly payroll reports, the Cal/OSHA 300A posting from February 1 at 11 or more employees, the California Pay Data Report at 100 or more, the annual review of the workplace violence prevention plan, and the San Francisco health care spending and annual report dates. Members get two reminders, 30 and 7 days ahead, and a private calendar feed for Google Calendar, Outlook or Apple Calendar.

Where the dates come from

Each date traces to the statute, regulation or city ordinance shown beside it, and to the agency page that publishes it. Figures that change every year sit in this site’s fact register and are re-verified on December 1, June 15 and August 5, so a reminder carries the rate in force when it is sent. When an agency moves a date, as San Francisco does with its annual report, the reminder says so and links the agency’s page.

Pair it with the gap checker

A reminder tells you a date is coming. The handbook gap checker tells you whether your handbook already covers the rule behind it, and the compliance check-up tests whether your records match what the handbook says.

General information, not legal advice. The official source linked beside each date controls.
